Money Laundering Documents

The Money Laundering Regulations 2017 requires all Estate Agents to obtain and retain identification and proof of address for all customers. If there are any beneficial owners as a result of the transaction, we would ask that you identify who they are. We are unable to act for you until we have this information.

Listed below are acceptable identity documents.

INDIVIDUAL INDENTITY DOCUMENTS

We require one document from section A and one document from section B.

  • Valid signed passport
  • Valid UK driving licence
  • EEA member state identity card

UK/EU/EEA Drivers Licence (if UK Drivers Licence not used as proof of ID)
Must be valid with a photograph. Full or provisional.

Utility Bills
Electricity, gas, or water dated within 6 months. Must contain an address for the service and/or account number. Cannot be general correspondence.

Credit Card Statement
Must contain an account number, show recent activity and be dated within 3 months. Cannot be general correspondence.

Telephone Bill
Landline or mobile monthly subscription (not pay as you go) and dated within 6 months. Must contain an address for the service and/or account number. Cannot be general correspondence.

HMRC Tax Notification
Must contain a national insurance number and tax calculation and dated with 6 months. Cannot be general correspondence.

Bank, Building Society or Credit Union Statement
Must contain an account number, show recent activity and dated with 3 months. Cannot be general correspondence.

Council Tax
Must contain an address for the service and/or account number and be dated within 12 months. Cannot be general correspondence.

Motor or Home Insurance Certificate
Has to include insured address or registered address for a vehicle with a policy number and dated within 12 months. Cannot be general correspondence.

UK, EU, EEA Mortgage Statement
Has to contain an account number, dated within 12 months and cannot be general correspondence.

Tenancy Agreement
Must be issued by a solicitor, reputable letting agency, local council or housing association. It must state full name and full property address. Dated within 12 months.

Benefits Entitlement Letter
Issued by DWP or Jobcentre plus and dated within 12 months, confirming benefit payable, such as housing, disability, pension, etc.

Electoral Register Entry or Poll Card
It should state full name and address and be dated within 12 months. Cannot be general correspondence.

Police Registration Certificate
Should state the full residential address of the individual and must be dated within 12 months.

UK Solicitors Letter Confirming House Purchase/Land Registration
To state full name of new owner and contain full property address. Must be dated with 3 months.

NHS Medical Card or GP Letter Confirming Registration
It should state the individual’s date of birth and NHS number and dated within 3 months. Cannot be general correspondence.

When it comes to providing proof of funds, you can do this via the following means

  • An agreement in principle/mortgage in principle
  • Bank statements of your deposit amount (for mortgage buyers)
  • Bank statements of your cash amount (for cash buyers)
  • Further bank statements from past months/years to show how your money has built up over time
  • Evidence of you selling a property (if using the funds to buy the new property)
  • If you've been gifted the money, a letter from whoever gifted the money
  • Evidence of money being left to you in a will
  • Receipts of shares being sold

We require the following if you are acting as a Representative of a Trust:

  • Trust deed
  • List of beneficiaries
  • List of trustees

Identity evidence from sections A & B for individuals with a vest interest in 25% or more of the capital and/or those who manage the Trust.

We require the following documentation if you are acting as a Representative of a UK Company:

  • Certificate of Incorporation
  • Memorandum of Association
  • Articles of Association

Latest Annual Return or Confirmation Statement, containing details of current company officers. If offshore, nominee director declaration and a general power of attorney. Identity evidence from section A and B for all individuals or entities with 25% or more of the shares or voting rights in the company.

If you are a Representative of an Offshore Company we also require the following:

Certificate of Incorporation
Memorandum of Association, Articles of Association, Latest Annual Return with details of current company officers, Share Certificate(s) showing the Ultimate Beneficial Owner OR

Certificate of Incumbency
Repeat steps above for the holding company, if the shares are owned by another company. Nominee director declaration and/or general Power of Attorney (if applicable)

Identity evidence from section A and B for individuals or entities with 25% or more of the shares or voting rights in the company.

We will require the following if you are a Representative of an Estate:

  • Grant of Probate (if there was a will left)
  • Letter of administration (if no will was left)

Identity evidence from section A & B for the Representative, either executor or administrator
